DATA PROCESSING NOTICE – TOPSELLER PROGRAM

PURPOSE OF DATA PROCESSING

Your personal data is processed solely for:

Managing the TOP SELLER program
Calculating points collected and determining the global ranking
Marketing communications related to the program (based on consent via email, SMS, WhatsApp)

IMPORTANT - These data are NOT used for:

Job evaluations or disciplinary actions
Communications to shipping companies
Decisions impacting the employment relationship

LEGAL BASIS

Processing is based on your free and specific consent (Art. 6.1.a GDPR).

CATEGORIES OF DATA PROCESSED

Identifying data: first name, last name, email, phone number
Program data: points, recorded conversions, awarded prizes
Contact data: email and phone number for communications related to the program

PROCESSING METHODS

Data is processed using a dedicated IT system owned and exclusively used by IES Italia, separate from HR systems of the shipping companies.
Access is limited to authorized personnel of the program.
Security measures (encryption, backup) are in place.
Data is stored for the duration of the program, with a maximum retention period of 10 years for legal obligations.

RANKINGS AND PUBLICATION

Published rankings use only the user’s first name and shipping company affiliation.

YOUR RIGHTS

Access your data and see collected points
Correct inaccurate personal data (first name, last name, email)
Request deletion and exit the program
Withdraw your consent any time
Receive your data in a structured format

CONSENT WITHDRAWAL AND RIGHTS REQUESTS

You may request changes, deletion, revocation, or exit from the program at any time by writing to:

EFFECTS OF REVOCATION:

Immediate cessation of participation
Removal from rankings
Loss of eligibility for available awards

DATA RETENTION:

During participation: for the entire program duration
After revocation: immediate removal from rankings
Data required for legal obligations: up to 10 years

DATA TRANSFER

Data remains within the organization and:

Is NOT shared with shipping companies
Is NOT shared with third parties for marketing
Is NOT used for purposes outside the program

"AMBASSADOR" CREW INCENTIVE PROGRAM

1.PROGRAM STRUCTURE

1.1 FUNDAMENTAL PRINCIPLES

Voluntary participation, revocable at any time
Data anonymization for public rankings
Strict separation from work performance evaluation systems
Exclusive purpose: commercial incentivization

1.2 OPERATIONAL PROCEDURES

Voluntary registration via anonymous personal code on the seafy.com website
Conversion tracking through unique QR code assigned to each employee
The personal QR Code, generated upon registration, must be printed and kept in hard copy format to be presented to passengers for sales purposes.
Points-based system with predefined reward thresholds
Display of accumulated points in the personal profile
